VetLetters.com provides medical record analysis and claim-support drafting for U.S. veterans. We are not the VA, a VSO, or a law firm.
2) Information We Collect
- Contact Info: name, email, phone, branch of service.
- Service Details: conditions/claim topics you share, intake form responses.
- Records You Upload: VA Blue Button exports, C-file excerpts, medical notes you voluntarily provide.
- Technical Data: IP address, device/browser info, pages viewed, timestamps, referral data.
- Payment Data: processed by our payment provider; we do not store full card numbers on our servers.
3) How We Use Your Information
- To deliver record analysis, evidence summaries, and letter drafts you request.
- To communicate about your order, timelines, and updates.
- To improve site performance, customer experience, and security.
- To comply with law, prevent fraud, and protect our rights.
4) Data Security
We use industry-standard safeguards (encryption in transit, account access controls, logging). No method of transmission or storage is 100% secure, so you share records at your discretion. Do not email sensitive files unencrypted.
5) Sharing & Disclosures
- Vendors/Processors: trusted providers that help us operate (hosting, storage, analytics, email, payments). They only process data under our instructions.
- Legal: we may disclose information to comply with applicable law, lawful requests, or to protect our rights and users.
- No Data Sales: we do not sell or rent your personal information.

8) Record Handling Notes
- Only upload records you are authorized to share. Remove unrelated third-party information when possible.
- We are not a HIPAA covered entity or business associate. Even so, we handle health information with strict confidentiality.
9) Data Retention
We retain information only as long as necessary for the purposes described above, to comply with legal obligations, resolve disputes, and enforce agreements. You may request earlier deletion (see Section 7).
10) Children’s Privacy
Our services are intended for adults. We do not knowingly collect personal information from anyone under 18.
11) International Visitors
Our services are operated in the United States. If you access from outside the U.S., you consent to processing in the U.S. with U.S. data protection laws.
12) Policy Updates
We may update this policy to reflect changes to our practices or legal requirements. Updates will be posted here with a new effective date.
